Managing users

Ticketmatic enables you to create a user for each member of your organization. Each member is limited to a specific set of actions by setting access levels.

To see the current lists of users, click on the account name in the top navigation bar en then click on Users. You can view detailed information about a user by clicking on the user in the list. The detailed information contains the user’s name, e-mail address and access level.

Adding a new user

To add a new user click on “Add user”. When the dialog appears you can fill in the user’s e-mail address and access level. For more information about the specific access levels, look at the following section.

When “Send e-mail” is clicked an invitation e-mail is sent to the given address. The person receiving this mail can then fill in more details (Firstname, lastname) and can then login afterwards.

We encourage that each member of your organization has it’s own user account. Not only is this free but it also enables you to better control who can do what in Ticketmatic, which are configured by access levels.

Password policy

Ticketmatic requires each user to use a strong password. Ticketmatic will score each password using following rules:

  • a lower case character a-z is 1 point
  • a digit or upper case character is 2 points
  • a symbol is 3 points

A password should at least get a score of 16 to be considered strong.

Access levels

These consist of the following acess levels:

A user with an “Admin” access level has access to everything inside the account.

A user with a “Boxoffice admin” access level can use & configure everything related to the boxoffice functionality. The following actions are enabled with this access level:

* View, add, edit contacts * View, add & edit orders * View, add & edit events * Configure price availabilities, price lists, price types and ticket fees

A user with a “Boxoffice worker” access level can use everything related to the boxoffice functionality. The following actions are enabled with this access level:

A user with a “Boxoffice limited worker” access level can sell tickets through the boxoffice but has limited access to the system. The limitations are the following:

* View, add & edit specific contacts. * Contacts can not be exported to Excel. * Summary and Map views are not available. * View, add & edit orders with the following limitations: * Prices which have a pricetype Free or VIP are not visible and can not be sold with this access level. It is possible to view (and manipulate with limitations) an existing order with tickets that have free or VIP prices. * Unable to refund payments. * Orders which are not fully paid can not be delivered (printed, previewed or emailed). * Orders which are delivered can not be changed. It's possible to preview and reprint the tickets or to redeliver the order through mail. * Reports are not available. * Summary and Map views are not available. * View events

A user with a “Designer” access level can configure everything related to the look and feel of your organisation. The following actions are enabled with this access level:

* Design documents * Design webskins * Design ticket layouts * Design order mails * Manage assets used in documents, webskins, order mails & ticketlayouts

A user with “External Sales” access level can sell tickets for specific events in a easy interface. You can find more information about external sales here.

Custom access level

If needed a user with a custom access level can be created by specific Access level Custom. If this option is selected the interface will look like this:

A specific level of access can be set for each block. If specific API access needs to be configured for a user this should also be set here. For each part (Configuration, Contacts & Sales) a Read or Write level can be set.
